Privacy Policy

This policy describes how ShopPhone handles information when you use the dashboard, when a caller reaches your ShopPhone number, and when we process payments.
What we collect
- Account data: name, email, hashed password or federated login (Google / X).
- Business profile: hours, trade, service area, job types, greeting, owner phone.
- Call data: caller number, recording URL, transcript, duration, and the lead we extracted.
- Calendar data: free/busy windows and events we create, plus encrypted OAuth tokens.
- Billing data: handled by Stripe. We store customer and subscription IDs, plan, and status.
- Usage: billed minutes per call.
How we use it
To answer calls, book work, email you lead summaries, meter usage, prevent abuse, and improve reliability. We do not sell personal information. We do not use call recordings for advertising.
Vendors
Calls are processed by Vapi (telephony and speech). The assistant model is configured on that vendor. Calendars go through Google when connected. Email alerts go through Resend or SMTP when configured. Payments go through Stripe. Hosting and the database run on our cloud providers. Each vendor processes data only to provide that piece of the service.
Callers
If someone calls your ShopPhone number, we process their number, voice, and the details they share so we can book a visit or a callback for you. The default greeting states that the call may be recorded. You are the business the caller is trying to reach; you decide how long to keep leads in the dashboard.
Retention and security
Calendar tokens are encrypted at rest (AES-256-GCM). Access to a shop’s leads, calls, and calendar is scoped to that shop’s members. We keep call logs and bookings while the account is active. After cancellation we delete or anonymize operational data when we no longer need it, unless we must keep it for billing disputes or law. No method of transmission is perfectly secure.
Your choices
- Disconnect Google Calendar in Settings.
- Turn off owner-alert emails in Settings.
- Cancel the subscription in the billing portal.
- Request export or deletion of your account data by emailing the address on your invoice.
Children
ShopPhone is for businesses. It is not directed at children under 13.
